Operations Team Leader - Adult Learning

Overview

We are seeking a dedicated and motivated Operations Team Leader to join our Adult Learning team. The successful candidate will be responsible for managing Adult Learning premises, ensuring health & safety policies are followed, and maintaining high standards of safety, security, and cleanliness. You will also manage a team of staff, providing professional and friendly information and advice to customers and other users.

About the role

Key Responsibilities:

  • To ensure main Adult Learning Centre’s are safe and fit for purpose by ensuring 100% completion of the Health and Safety schedule including six-monthly inspections, fire drills, legionella checks and site services are booked in and completed. Assist the Operations Senior Team Leader with risk assessments and reviews of procedures such as NOP’s, EAP’s and COSHH.
  • To manage allocated Adult Learning premises used by staff and customers, ensuring the highest standards of safety, security and cleanliness are always met, raising any faults on site to the Buckinghamshire Council’s facility team when needed.
  • To be responsible for the presentation of allocated Adult Learning premises and manage them with pride, maintaining reputation and the best image for the service. Provide accurate and helpful information and advice to comply with audit and inspection standards and ensure that notice boards and display materials are up-to-date and well-presented, complying with service standards at all times.
  • To assist with promotional activities, working closely with the curriculum co-ordinators and to support initiatives by other staff to gather data, stimulate demand and increase take-up of adult learning courses
  • Oversee the management of the site timetabling systems for regular and ad-hoc rooms bookings and ensure that resources are available for all scheduled courses.
  • To manage and oversee the workload of Adult Learning Business Support staff, supporting the team to manage capacity and activity required by the service. Ensure that all allocated tasks and activities are completed to the given administrative timeline and requirement of the service, and a high standard of customer service is provided to both internal and external customers. Covering staff where needed in the event of absence.
  • To lead the recruitment, selection and training of staff in the business support team, setting objectives and monitoring performance to support improvement through the Coaching for Performance system.
  • To ensure all financial transactions are handled in accordance with Buckinghamshire Councils financial instructions and regulations in relation to cash received, banking, ordering and payment of invoices and local imprest accounts. To authorise the regions ordering through the correct ordering systems for goods and services.
  • To liaise with external stakeholders where close contact is needed such as schools polling clerks and, cleaning contractors ensuring that a good relationship is maintained.
  • To liaise with off sites, ensuring bookings are completed accurately, limit orders are raised and invoices are checked and paid in time so as to comply with corporate standards thus ensuring availability of external venues for the delivery of adult learning courses.
  • To liaise with the Adult Learning MIS team and Buckinghamshire Council’s IT department to report faults or interruption to the service to ensure all IT resources needed by staff and customer are available and working properly.
  • Travelling between sites across the county when needed for the moving of equipment and supplies.

Any-Desk:

As an ‘any-desk’ worker, you’ll need to be connected to our network to access digital folders and resources, but this can either be from home or an office location when required. You will be required to work from the office a couple of times a week, depending on your role and team requirements.

About you

  • Educated to NVQ 2 standard or equivalent.
  • Good supervisory skills with the ability to motivate people to achieve desired performance.
  • Experience in managing a team and ensuring work is completed to the required standard.
  • Proven ability to communicate clearly and effectively with customers and staff.
  • Ability to use own initiative in local decision-making and understand relevant processes, systems, and procedures.
  • Experience in handling customer queries and complaints.

  • Ability to travel to other Adult Learning Centres and support occasional local events.
  • Some evening and weekend working may be necessary.
  • Ability to converse at ease with customers and provide advice in accurate spoken English.
