We are looking to appoint a Senior Manager Personal Assistant to join the Specialist Support Office. This a fantastic opportunity to work with various stakeholders, providing comprehensive, flexible, first-class, confidential executive support. You will use your strong ICT knowledge and exceptional organisational skills to manage multiple diaries, coordinate and organise activities, and anticipate the needs of the Director and other stakeholders.

About the role
You will carry out a range of activities on behalf of Directors & Heads of Service. These activities will include:
- Responding to correspondence, internal and external, including drafting replies as directed by the Directors and Heads of Service.
- Receiving and tracking mail requiring the attention of Directors & Heads of Service, ensuring all relevant information is accessible.
- Arranging meetings & conferences including multi agency meetings. – Events, meetings, etc, are managed effectively.
- Managing diaries – effective use of time by those supported.
- Dealing with travel arrangements, conferences, etc, both nationally and internationally.
- Arranging briefings.
- Managing inventories.
- Providing business support to meetings including minute taking services. – Minutes are taken and actions are chased as required.
- SAP Processing.
- Dealing with complaints and compliments, in conjunction with Central Complaints Team.
- Coordinating and liaising with partners and outside bodies
- To undertake research in support of the Directors and Heads of Service and present information in the appropriate format.
To perform this job successfully, the individual is expected to handle highly sensitive, and confidential information while exercising professionalism and discretion, working within a complex and sensitive political framework.

As an ‘any-desk’ worker, you’ll need to be connected to our network to access digital folders and resources, but this can either be from home or an office location when required. You will be required to work from the office a couple of times a week, depending on your role and team requirements.
About you
You'll bring a strong work ethic and the ability to plan and organise work, including in response to tight timescales and deadlines.
Excellent customer service is a must, as is the ability to establish good working relationships.
You'll be technically competent in a range of IT software packages, such as MS Office and SAP.
You'll also be able to research and assemble information in an appropriate format, and prepare draft briefing papers and correspondence.
