Business Support Specialist

Overview

Buckinghamshire Council is seeking a motivated and highly organised Business Support Specialist to provide dedicated support to our key Waste Collection Procurement Programme.

This role is essential in ensuring the smooth day-to-day running of the programme, providing continuity to the core programme team and supporting a wide range of administrative and coordination tasks.

Our Waste Collection Programme team sits within Neighbourhood Services and leads the delivery of this key strategic procurement.

About the role

You will work closely with the Programme Officer and wider Waste Collection Procurement Programme team, which includes both internal colleagues and external advisors covering legal, technical, and financial expertise. The role will also evolve to support engagement with future bidders / service providers.

Key Responsibilities

  • Providing high-quality note taking and minute-taking across a variety of programme meetings (both face-to-face and via MS Teams), ensuring accurate capture of discussions and actions
  • Scheduling and coordinating meetings and workshops, including managing availability across a complex stakeholder group
  • Booking venues and organising logistics for meetings and workshops
  • Supporting the collation and management of enquiries and clarifications
  • Assisting with programme administration, including maintaining programme logs and supporting ad hoc tasks as required
  • Working closely with the Programme Officer to ensure effective programme coordination and communication

About you

We are looking for someone who:

  • Is highly organised, with strong administrative and coordination skills
  • Has experience of minute taking and managing actions
  • Is confident working with a wide range of stakeholders, including external partners
  • Is able to communicate effectively at all levels including members of the council
  • Can manage competing priorities and work at pace
  • Is proactive, flexible, and able to support a dynamic programme environment
  • Has excellent communication skills, both written and verbal

The role will require agile / flexible working from our Council offices in Aylesbury and High Wycombe, as well as working from home. As an ‘any-desk’ worker, you will need access to the Council network, which can be via home or office locations. The team works in a hybrid way, with an expectation of office attendance a couple of times per week, increasing as required to meet business needs.
