About us

The Specialist Support Office is a busy, collaborative team providing high-quality business support to senior managers across Buckinghamshire Council. We offer dedicated support to Service Directors and flexible assistance to projects and wider teams, using available tools to keep pace with evolving ways of working and organisational demands.

We are a supportive and adaptable team who work together, share knowledge and provide resilient cover to ensure our customers receive a professional and responsive service. It is a varied environment where no two days are quite the same, with opportunities to work with colleagues across different services and develop a broad understanding of the organisation.

About the role

As a Senior Manager Personal Assistant, you will provide high-quality executive and administrative support within a centralised specialist support team. Acting as a key point of contact, you'll help senior leaders manage their workloads efficiently while ensuring the smooth coordination of meetings, communications and business activities.

Key responsibilities will include:

  • Providing dedicated support to senior managers across the Council.
  • Managing complex diaries, appointments and travel arrangements.
  • Organising and supporting meetings, including preparing agendas, taking minutes and monitoring follow-up actions.
  • Producing professional correspondence, reports, presentations and briefing materials.
  • Building and maintaining effective relationships with internal and external stakeholders.
  • Acting as a central point of contact, coordinating enquiries and resolving issues where appropriate.
  • Supporting the delivery of projects and time-sensitive pieces of work.
  • Handling complaints, compliments and enquiries with professionalism and discretion
  • Undertaking financial processing activities in line with Council procedures.
  • Maintaining accurate records, databases and electronic filing systems.
  • Providing support and cover for colleagues across the wider team when required.

As an ‘any-desk’ worker, you’ll need to be connected to our network to access digital folders and resources, but this can either be from home or an office location when required. You will be required to work from the office a couple of times a week, depending on your role and team requirements.

 

About you

We're looking for someone with exceptional organisational skills, excellent attention to detail and the ability to work confidently with senior stakeholders.

You will bring:

  • Significant experience in providing executive, personal assistant or senior administrative support.
  • Outstanding written and verbal communication
  • Strong interpersonal skills with the ability to build effective working
  • Excellent organisational and time management skills, with the ability to prioritise competing demands and meet deadlines.
  • Experience managing sensitive and confidential information
  • Strong IT skills, including Microsoft Word, Excel, PowerPoint and other business
  • Experience maintaining databases, electronic records and document management
  • The ability to work independently, use initiative and make sound
  • A collaborative approach and willingness to support colleagues across
  • Experience working on projects and delivering work to tight
  • Educated to NVQ Level 4, HND, BTEC or equivalent experience

About the Service Area

Our Business Operations service is responsible for delivering high-quality, cost-effective business enablement services with a focused approach to customer experience, access channels and service delivery.

 We deliver expert advice and guidance on the design and implementation of customer improvement projects and provide access to information, advice and support from a wide range of services through face-to-face contact and self-service internet-based transactions through our Council Access Points.

 Business Operations works across a range of services provided by the council. We offer bespoke solutions to front-line services with an efficient, value-for-money business process administration and project support service. The strength of the team is its knowledge of the key support services required to ensure a smooth running of services being provided by the different Business Units.
