ILR and Data Coordinator
Location: Aylesbury
Overview
Are you someone who thrives on accuracy, enjoys working with data, and takes pride in making a real impact behind the scenes? We're looking for an ILR and Data Co-ordinator to join our Adult Learning team, helping to ensure that learner data is accurate, compliant, and supports the delivery of high-quality learning opportunities across the community.
This is an exciting opportunity to play a key role in the management of learner records and funding-related data, working closely with colleagues to ensure the service meets its statutory and regulatory requirements while continually improving the quality of information and reporting.
About us
Buckinghamshire Council is a relatively new organisation that combines the strengths and expertise of the previous five councils in the county to create positive change for local people, communities, and businesses. We are firmly focused on the future and have made a clear commitment to serve residents better and to provide stronger representation for Buckinghamshire, both locally and nationally.
About the role
As our ILR and Data Co-ordinator, you'll be at the heart of our data and compliance activity, ensuring learner information is complete, accurate, and submitted in line with funding body requirements. You'll play a vital role in maintaining the integrity of our Management Information System (EBS), supporting funding returns, monitoring data quality, and helping colleagues understand and apply data processes correctly.
This role offers plenty of variety and the opportunity to work across different areas of the Adult Learning Service. From overseeing learner record processes and supporting audit readiness, to identifying data issues and delivering guidance to colleagues, you'll be a trusted source of expertise and an important part of ensuring the service operates effectively. If you enjoy problem-solving, analysing information, and making improvements that have a real organisational impact, this could be the perfect role for you.
Key Responsibilities
- Monitor and maintain accurate learner data and Individualised Learner Records (ILR).
- Support the preparation and submission of funding returns and statutory reporting requirements.
- Identify, investigate and resolve data quality issues, providing guidance to colleagues where needed.
- Help ensure compliance with funding regulations, audit requirements and data protection standards.
For a full outline of duties and responsibilities, please refer to the Job Description.
Any-Desk:
As an ‘any-desk’ worker, you’ll need a desk, screen a keyboard to get your job done. You’ll need to be connected to our network to access digital folders and resources, but this can either be from home or an office location when required. You will required to work from the office a couple of times a week, depending on your role and team requirements.
About you
We're looking for someone who combines exceptional attention to detail with a proactive and collaborative approach. You'll enjoy working with complex data, be highly organised, and take pride in delivering accurate work to tight deadlines. You'll be comfortable building positive relationships with colleagues and explaining technical or funding-related information in a clear and accessible way.
To be successful in this role, you'll have experience working with data management, compliance, or management information systems, ideally within a further education, adult learning, or funding-related environment. You'll bring excellent ICT skills, strong analytical abilities, and a good understanding of the importance of data accuracy and quality. Experience of learner record management, funding returns, and working with systems such as EBS would be particularly valuable.
You'll also need:
- Strong organisational skills with the ability to manage competing priorities.
- Excellent communication and relationship-building skills.
- Experience using Microsoft Office applications and specialist data systems.
- A qualification equivalent to NVQ Level 4, HND, BTEC or relevant experience.
- Level 2 English and Maths (or working towards).
Most importantly, you'll share our values, demonstrating professionalism, initiative, collaboration, and a commitment to delivering high-quality outcomes for learners and colleagues alike.
Please refer to the Job Description and Person Specification for full details of the essential and desirable criteria.
